Week 5 - Assignment 1: Create a Vendor Communication Plan (15 Points)

After reading more and learning more about Communication Plans, you will be asked to draft a communication plan. Managing communication is an important factor in keeping all stakeholders connected. The communication planning process involves information to deliver, the recipient and sender, medium, and timing of the information’s release and dissemination. According to Lys (2015), 90% of a project manager’s role is communicating with other stakeholders to ensure that everyone receives the right message at the right time.

When defining the communication plan, the project manager must determine the type of communication to manage, particularly when analyzing the stakeholder’s needs and requirements. During stakeholder and requirement analysis, the project manager must determine how to prioritize communication among stakeholders to manage the volume of information. Additionally, management of communication volume will help the project manager and stakeholder stay informed and make appropriate decisions for overall project success.

Another important aspect of the communication plan is managing the mode of communication. Today, the diffusion of technology can promote a more diverse means of communication. For instance, modes of communication are in many forms, such as email, online databases, online schedules, meetings, and project websites. When selecting a mode of communication, the project manager should consider many factors, such as the need to procure new or used existing technologies and/or software solutions, and the need for updates.

The communication plan will be part of the full project procurement plan. So be sure to align the communication plan activities with your selection of the contract type, project scope, SOW, and potential risks for the next assignment for the week. A Communication Plan Template of the Communication Plan has been provided in this week’s Books and Resources Section to assist in this development.

The Communication Plan is intended to illustrate the needs of both the seller and the buyer. According to the PMBOK (2017), it focuses on the information and communication needs of the stakeholders. This is particularly important when selecting contract types and negotiating specific needs as it pertains to the overall deliverables of the procurement project. For this assignment, be sure to simply include the full Communication Plan. The Communication Plan Template is found in this week's resources.

References: Include a minimum of 2 scholarly resources.

The completed assignment should address all the assignment requirements, exhibit evidence of concept knowledge, and demonstrate thoughtful consideration of the content presented in the course. The writing should integrate scholarly resources, reflect academic expectations and current APA standards, and adhere to Northcentral University's Academic Integrity Policy.
